1. OBJECTIVES

·         To grant an efficient and accountable way of managing the project through effective management and decision-making structures, while retaining a high level of representation and transparency, both with regard to the scientific and the financial aspects.

·         To carry out, on behalf of the beneficiaries, the specific coordination tasks laid down in the Grant Agreement (GA) with the Commission, covering all scientific, technical organizational and financial aspects.

2. DESCRIPTION OF WORK AND ROLE OF PARTICIPANTS

The following aspects can be distinguished in the management activities: organizational activities and actions undertaken to disseminate, promote and exploit the knowledge connected with the project.

1.      Organizational activities

They consist of:

·         promotional activities towards the persons in charge for the work packages (activity leaders), to further the implementation of the work packages, to monitor their progress, to monitor the expenditures according to the implementation plan, to foster the flow of information within the project;

·         contacts with the beneficiaries of the GA (persons in charge for administrative and scientific aspects);

·         contacts with the Nuclear Physics European Collaboration Committee (NuPECC), presenting reports on the progress of the project, in occasion of the periodic meetings of this organization;

·         contacts with the Commission – Project Officer, Financial Officer, Legal Offices, others – for discussions related the management of the project;

·         contacts with the community – members of the collaborations, Directors of Institutes, researchers;

·         implementation, formal constitution, entering into force of the managerial bodies which constitute the managerial structure of the project;

·         organization of periodical meetings of the Management Board (4 per year);

·         organization of periodical meetings of:

 -   Collaboration Committee (twice a year)
-   Dissemination Board (once a year)
-   Governing Board (once a year)
-   Council (once a year)
 -   Scientific Advisory Committee(once a year)

·         Preparation of the Periodic Report:

 -   finalization of the Activity Report,

 -   finalization of the Financial Part of the Periodic Report and the Form C for each beneficiary.

2.      Actions undertaken to disseminate, promote and exploit the knowledge connected to and derived from the project

The main objectives in the dissemination effort are:

  • to achieve visibility for the project and its findings across Europe and worldwide, both within and outside the scientific community;
  • to encourage the view that the deployment of hadron physics is important, both scientifically and culturally;
  • to promote the awareness of science as “part of the fabric of society”;
  • to gain increased knowledge and sharing of HadronPhysics2 activities and achievements in the society of science and new technology;
  • to recruit and encourage the next generation of scientists.

The actions undertaken by the management are:

  • presentation of the project in International Conferences and Workshops;
  • presentation of the project and its progress to NuPECC, to receive advices and suggestions;
  • presentation of the project in restricted and public seminaries, organized by the major European organizations;
  • co-sponsorships of International Conferences and Workshops covering subjects related to the scientific objectives of the project;
  • organic cooperation with European Centers of excellence in the hadron physics field, theory and experiments:

    identification of common fields of cooperation considered as beneficial in the interest of both, like the co-organization of workshops focused on subjects having a direct relationship to the activities of the project;

    implementation of joint positions to contribute to the dissemination of knowledge in the field of hadron physics;

·         promotion of actions to be performed within the individual organizations to publicize research activities and its recent achievements and the knowledge derived from the project;

·         implementation of the project website:

among the means to promote and exploit the knowledge derived by the activities of the project, a crucial role is played by the project website.

This fundamental tool was created by the management of the consortium already in FP6 and was fully re-styled for FP7.

The HadronPhysics2 website is described in full detail in Section B.3.2.
